Effective Report Planning

Before designing reports there are a number of things that must be considered first.  This blog covers some of these.


To start with the most important thing to ask is:
  • What does the end user need to know?

  • Does the end user need to view a summary of the data or the details

  • How will the end user view the report?

Therefore the following must be identified by the report designer:

  • Is the data sources PC and/or Client/Server based?

  • What are the required databases, tables and fields?

  • How will the data be displayed on the report, i.e. List, Summary, Drill down,  Crosstab, Chart or Form Letter?

  • What are the required records of the report?

  • In what order does the records need to be in on the report?

  • What information is required for the report, that does not exist in the datasource?

  • If the data does not exist in the datasource, can it be created with formulas?

  • What are the required Summary and Grand Total fields of the report?

  • What are the required labels for the report?

  • What Header and Footer information are required?

  • Does the end user have access to Crystal Reports?
